How to choose NDIS software as a small NDIS provider
There's an awkward gap in NDIS software. On one side there's software built for a sole trader, which breaks down the moment you hire your second or third worker. On the other there's enterprise software priced and built for an organisation with fifty, a hundred, two hundred staff - rostering complexity, approval chains and per-seat pricing that makes no sense for a team of five.
If you run a small NDIS provider - anywhere from two workers up to around twenty - you're sitting in that gap, and most of what's on the market either over-delivers at enterprise prices or under-delivers because it was never designed for a team at all.
The first thing to check is whether the pricing actually makes sense at your size. Per-user pricing sounds fine at five workers, but it compounds every time you hire - by fifteen or twenty workers, a per-seat model that looked cheap at launch can cost more than a flat-rate alternative, and it keeps climbing. A flat fee up to a worker cap means growing your team doesn't automatically grow your software bill.
Second is whether the roster is actually built for a small team. You don't need shift-swap approval workflows or a module for managing team leads across multiple sites - you need to see who's working today, assign a worker to a participant, and move on. Enterprise rostering tools make this harder, not easier, when there's no enterprise to manage.
Third is compliance across a team, not just for yourself. Once you're not the only worker, you're responsible for everyone's NDIS Worker Screening Check, insurance and First Aid certification staying current - and once you take on an employee, Workers' Compensation insurance becomes a legal requirement on top of that. Software that tracks expiry dates for your whole team, automatically, is the difference between staying ahead of it and finding out something lapsed when it's already a problem.
Fourth is invoicing that holds up across every participant your team supports, not just one. Correct support item numbers, correct GST-free treatment, and correct routing for plan-managed, self-managed and NDIA-managed participants - at volume, not just for a single client.
Fifth is getting found as a business, not just managing the clients you already have. A directory listing that participants and families can actually search, structured to be found by AI assistants too, brings in new work instead of just processing the work you've already won.
Finally, records that protect the whole provider. Append-only shift notes written independently by each worker mean no single person's record-keeping habits put the business at risk if a support is ever questioned.
Juste's Small membership is built around exactly this gap: a flat $199/month for up to 20 workers, a roster sized for a small team, compliance tracking across everyone on it, NDIS-correct invoicing, a directory listing, and append-only records - without enterprise pricing or enterprise complexity.
