Best NDIS platform for keeping records in 2026
Record keeping used to be something providers worried about and participants mostly didn't. That changed with the 2026 NDIS reforms. Providers already carry a 7-year retention duty under the NDIS Act, and self-managed participants now have their own legal duty to keep records for 3 years from each support date (5 years if they were under 18 at the time). Deliberately destroying records to disrupt an audit or investigation is now its own separate criminal offence, not just a compliance gap.
Given that, the platform you use to keep records is not a nice-to-have. Here's what actually makes one good at it.
Records that can't be quietly edited or deleted
The single most important feature is append-only storage: once a shift note, invoice or agreement is created, it cannot be silently changed or removed later — by anyone, including the provider. If a correction is genuinely needed, the right platform adds a new entry rather than editing history. This is what actually protects you if a record is ever disputed - you can show it wasn't touched after the fact, not just tell someone it wasn't.
The right retention period, automatically
Per the NDIA's own guidance, providers need to retain records for 7 years, covering incident records, complaint records, worker screening records and the evidence a claim was legitimate. A platform that calculates and shows you a "keep until" date on each record - rather than leaving you to track it in a spreadsheet - takes that admin off your plate entirely. The same logic should apply on the participant side for the shorter 3-year (or 5-year) duty.
Both sides of the shift, independently recorded
A single shared note written by one person is weaker evidence than two independent accounts. The best platforms let the worker and the participant each write their own record of the same shift, without either one able to see or edit the other's entry as they write it. If there's ever a dispute about what happened, you have two independent, timestamped accounts rather than one story.
An audit trail, not just the record itself
Beyond the record content, a genuinely audit-ready platform logs who created each entry, when, and (for participant records) whether it was the participant themselves or a nominee acting on their behalf. That audit trail is what makes a record set actually defensible, rather than just a pile of documents with no provenance.
Exportable when you actually need it
Records that live only inside one platform, with no way to get them out, are a liability if you ever switch systems or need to hand a complete file to an auditor, accountant or the NDIS Commission. Look for a straightforward export - CSV or a full audit-ready pack - rather than records you'd have to screenshot one at a time.
