Best NDIS platform for invoices in 2026

An NDIS invoice is not a normal invoice. It needs the correct support item number from the current NDIS Pricing Arrangements, the right GST treatment (most disability supports are GST-free), the correct claim type depending on whether the participant is plan-managed, self-managed or NDIA-managed, and — if you're claiming above the price cap for a support item — a defensible reason why. Get any of that wrong and you're either underbilling yourself or handing a plan manager a reason to bounce the invoice back.

That's what separates an NDIS invoicing platform from a generic one like a plain template or a general small-business invoicing tool. Here's what actually to look for.

The current pricing catalogue, not last year's

Support item numbers, unit prices and price limits are updated as part of the NDIS Pricing Arrangements and Price Limits, which change periodically. A platform that hasn't kept its catalogue current will let you bill an old code or an outdated cap without warning you — the kind of mistake that only surfaces when a plan manager rejects the claim or an audit picks it up later. Look for a platform that searches the live support item catalogue as you build the invoice, not a static list bundled in at launch and never touched again.

Correct handling by claim type

Plan-managed, self-managed and NDIA-managed participants are billed differently in practice, even though the underlying support item numbers are the same. A plan-managed invoice needs to go to the plan manager, usually with their name and email on the document. A self-managed invoice goes to the participant directly, who then claims it themselves through the NDIS portal or app. An NDIA-managed claim is typically lodged by the provider directly through the myplace portal, and the invoice is more of a record than a bill sent anywhere. A platform that treats all three the same way is going to get the workflow wrong for at least one of them.

Price-cap awareness

Every support item has a price limit, and it varies by remoteness classification. A platform worth using flags it in real time when the rate you've entered is above the cap for that item, rather than letting you find out after the invoice has already gone out. What happens to the invoice after it's created

Either way, check what actually happens to a draft you haven't sent yet — the best platforms don't start the participant's claim clock or count it as income anywhere until you've actually marked it sent, not the moment you save a draft.

Editable, not locked in forever

Mistakes happen before an invoice is sent — a wrong line item, a typo in the hours. A good platform lets you fix a draft invoice properly rather than forcing you to void it and start again with a new invoice number every time. Once it's issued and claimed against, though, it should stay a fixed record - if it needs to change at that point, a cancellation invoice is the correct way to handle it, not editing history.
